Boutique Cottages (Yorkshire) Limited strives to protect the privacy of all personally identifiable information collected during the course of our business activities. This Privacy Policy explains how we process your personal information.

Introduction
We are a ‘data controller’ under the terms of the Data Protection Laws, including the UK Data Protection Act 2018, the UK GDPR guidelines and where applicable the EU General Data Protection Regulation 2016.

We need to process personal data relating to our customers (guests making bookings for our holiday cottages), as well as for any suppliers we work with, in order to function effectively as a business, to ensure good governance, to enable us to meet our legal obligations and for audit purposes.

 

Personal data is processed for commercial, administrative, statutory and marketing/promotion purposes. All data is collected and held in accordance with all applicable Data Protection Laws.

1.    Information you give us – you may give us information by filling in forms on our website www.boutique-cottages.co.uk, or by getting in touch with us by phone, email or social media. This includes information you provide when you use our site, subscribe to our newsletter, search for a property, make a booking on our site, submit an enquiry about a cottage, participate in social media activity from us, enter a competition, promotion or survey, as well as when you report a problem with our site or service. The information you give us may include your name, address, email address, phone number, financial information, personal information and photographs, dietary requirements, as well details of family and friends.

 

2.    Information we collect about you – whenever you visit our website, we may automatically collect technical information, including the IP address used to connect your computer to the internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, as well as operating system and platform. We also get information about your visit to our website, including the URL clickstream to, through and from our site, pages you viewed, page response times, length of visits to each page, page interaction information such as scrolling, clicks and mouse-overs.

3.    Information we receive from other sources – bookings for our cottages on our website www.boutique-cottages.co.uk are managed by an external company called SuperControl. When you make a booking for one of our cottages on our website, you will be using SuperControl’s Property Management System. SuperControl will process the personal data you put in when you make a booking with us as our appointed data processor. SuperControl then pass all of this data onto us so that we can manage your booking and holiday experience with us effectively and to the highest standard.

Our website uses Cookies to distinguish you from other users of our website. This helps us to provide you with a good experience when you’re using our website, as well as enabling us to improve constantly the user experience of our site. By continuing to browse our website, you are agreeing to our use of Cookies.

2.    For existing customers – to contact you (by email or text) to bring to your attention other products or services we offer that we think may be relevant and of interest to you, making sure they are linked or similar to products or services that you’ve bought from us previously

 

3.    For potential customers – to contact you (by email or text) to reply to an enquiry you have sent into us via our website, social media, email or text

 

4.    To let you know about any changes to our cottages or bookings you have made with us

 

5.    Website – (a) to make sure that the content on our website is presented in the easiest and most effective manner for you and your computer; (b) to administer our website and for internal operations such as troubleshooting any issues, data analysis, testing, research, as well as statistical purposes; (c) to keep our website safe and secure; (d) to allow you to take part in any interactive features

 

6.    Marketing – to measure the effectiveness of any advertising we do, and to help us deliver ever more relevant advertising content to you

 

Disclosure of your information
We will never sell or disclose your information to any unrelated 3rd parties because we do not like being targeted in this way, so we will never put you in a position where you are because of any data you’ve given to us in good faith for the booking of a holiday in one of our cottages.

 

We will only disclose your information where it is absolutely necessary:

1.    Business partners, suppliers or sub-contractors – but only for effective performance of your booking with us for one of our holiday cottages

 

2.    Analytics and search engine providers – to assist us in the improvement and optimisation of our website. This will always be provided in anonymous form.

 

3.    If Boutique Cottages (Yorkshire) Limited is bought by a 3rd party – in which case personal data about our customers will be one of the assets transferred to the 3rd party purchasing Boutique Cottages (Yorkshire) Limited

 

4.    Legal obligation – if we are under a duty to disclose or share your personal data to comply with any legal obligation; or to protect the rights, property or safety of Boutique Cottages (Yorkshire) Limited, our customers or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

 

Where we store your personal data
The data we collect from you either directly or via our nominated data processor, SuperControl, will usually be stored securely in the UK.

Our nominated data processor, SuperControl, employ a wide range of security measures to ensure that the information we collect about you when you make a booking for one of our cottages is protected from access by unauthorised people and protected against unlawful processing, accidental loss, destruction and damage.

 

Please be aware that unfortunately the transmission of information via the internet or email is not completely secure. Although we will always do our best to protect your personal data, we cannot guarantee the security of the data transmitted to us and any transmission is at your own risk.

 

Data retention period
We will typically hold the data about you for 7 years from the last transaction or communication date.

 

Your rights
You have the following rights under Data Protection Laws in relation to the processing of your personal data:

1.    The right to request from us access to the information we hold about you
2.    The right to request that inaccurate data held about you is corrected
